Construction Administrative Assistant

We are seeking a highly organized and efficient Construction Administrator with proven experience in the residential and commercial roofing industry. The ideal candidate is detail-oriented, tech-savvy, and capable of managing multiple administrative and project coordination tasks in a fast-paced construction environment.


Key Responsibilities:

Administrative & Clerical Support

  • Perform general office duties: data entry, document preparation, filing, ordering supplies, and maintaining records.

  • Provide day-to-day support to the office manager, project manager, general contractor, and other staff.

  • Coordinate meeting logistics, prepare handouts, and arrange travel for the project team.

  • Professionally handle incoming calls and emails.

Project Coordination

  • Manage new project contracts, verify scopes of work, and prepare job files for production.

  • Produce critical project forms: purchase orders, subcontracts, service agreements, and change orders.

  • Collaborate with vendors and subcontractors regarding invoicing, accounts, and contract pricing.

  • Support multifamily and single-family project accounts and their specific administrative needs.

Accounting & Documentation

  • Input vendor expenses and receipts into QuickBooks Desktop and Online.

  • Assist with invoicing, payroll submissions, and trade-related reporting.

  • Ensure compliance with construction billing practices, including familiarity with lien laws, waivers, and AIA forms.


Required Skills & Qualifications:

  • Minimum 3 years of administrative experience, preferably within a construction office.

  • Proficient in QuickBooks (Desktop & Online), Google Workspace (Docs, Sheets, Drive), and Microsoft Office 365 (Excel, Word, Outlook).

  • Strong understanding of construction documentation and billing procedures.

  • Excellent communication, customer service, and problem-solving skills.

  • High attention to detail with strong organizational and time management abilities.

  • Ability to work independently while managing multiple priorities and tight deadlines.

  • Familiarity with lien laws and AIA billing documentation is highly preferred.


Education:

  • High school diploma is required.

  • Associate’s or bachelor’s degree is a strong asset.
