Responsibilities
- Management of accounts payable and receivable for both Swiss and Italian offices; liaising with suppliers and consultants
- Support in drafting and preparing the annual financial statements and periodic closings (monthly/quarterly) for Switzerland and Italy
- Collaboration with external consultants (CH and IT) for tax, accounting, and reporting activities in both countries
- Handling employee expense reimbursements
- Managing relations with employees regarding reimbursement processes
- Supplying and tracking company devices and materials
- Managing incoming phone calls
- Updating administrative policies
- Supporting the implementation, maintenance, and monitoring of ISO processes (e.g., ISO 9001) in the administrative and accounting areas
- Collaborating with internal stakeholders to ensure compliance with ISO regulations, including document organization, deadline management, and audit support
Requirements
- Previous experience in similar administrative roles, preferably in a dynamic business environment
- Knowledge of accounting principles and administrative practices
- Experience in managing accounting and invoicing for both Swiss and Italian entities (including VAT, tax regulations, and document handling)
- Excellent written and verbal communication skills with colleagues, employees, and external stakeholders
- Strong team spirit and ability to collaborate across departments
- Accuracy and attention to detail in handling documentation and administrative processes
- Good organizational skills and ability to manage priorities effectively
- Flexibility and adaptability in a dynamic and evolving environment
- Languages: Italian and English
- Bonus: Knowledge of ISO certifications (especially ISO 9001) and related documentation and procedural requirements
