Part-Time Administrative Secretary

The Employee Assistance Program Part-Time Administrative Secretary coordinates meetings, and maintains electronic calendars, while also performing word processing, data entry, and front office reception duties. They handle confidential employee records and maintain program statistical records for analysis and trends.

Responsibilities

  • Coordinate meetings, schedule appointments, and maintain electronic calendars.
  • Perform word processing, data entry, and records management duties.
  • Perform front office reception duties including handling and appropriately routing telephone calls and electronic inquires, transfer telephone calls, and forward messages.
  • Maintain Employee Assistance Program webpage, ensuring timely update and maintenance of information.
  • Handle confidential employee records.
  • Track and compile program statistical and survey records in order to analyze data and track relevant trends; create and/or manage program spreadsheets.
  • Maintain program electronic records ensuring timely and accurate upkeep of records.
  • Support the facilitation of employee groups and workshops by scheduling and securing room reservations and ensuring appropriate accommodations as needed.
  • Procure office supplies, promotional materials, educational brochures, technology support requests, facility work orders, etc.
  • Maintain filing systems, filing documents in a timely and consistent basis.
  • Work alongside the Coordinator and Office of Policy and Compliance to ensure appropriate record retention and destruction.
  • Copy and collate documents as needed.
  • Assess gaps in workflow and explore possible solutions.
  • Coordinate and provide support to special projects as required.

Job Requirements:


Minimum Qualifications

  • Associate’s degree.
  • Minimum 2-4 years of experience.

Preferred Qualifications

  • Proficient customer service skills.
  • Working knowledge of data entry.
  • Working knowledge of Microsoft Windows and Office Suite.

Salary

Salary: $35.92 per hour

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $35.92 per hour with step increments per Salary Schedule 90, after one year of service and annually thereafter.

Work Schedule

Days/Hours: Tuesdays, 10am-3pm, in person; work schedule subject to change based on needs of the department.

The physical requirement for this position will require frequent sitting, occasional standing and walking, occasional pulling and pushing, and occasional lifting of 10 lbs. or less. The working conditions for this position will be on campus primarily in an office environment.
