We are currently seeking a Front Office/Administrative Aide/Receptionist to join our team. In this role, you will be the first point of contact for visitors and clients, as well as provide essential administrative support to ensure the smooth operation of our office.

Job Description:

As the Front Office/Administrative Aide/Receptionist, you will be responsible for managing front desk operations, answering inquiries, and providing administrative support to different departments. You will play a key role in maintaining a professional and welcoming environment for clients, employees, and visitors.

Key Responsibilities:

  • Greet and welcome visitors, clients, and employees in a professional and friendly manner.
  • Answer and direct phone calls to appropriate departments or staff members.
  • Handle incoming and outgoing mail and packages.
  • Schedule and coordinate appointments, meetings, and conference rooms.
  • Maintain and manage office supplies inventory, ensuring that all supplies are well-stocked.
  • Provide administrative support to various departments, including scheduling meetings, preparing documents, and handling correspondence.
  • Maintain a clean and organized front office area.
  • Assist with preparing and processing invoices, expense reports, and other administrative tasks.
  • Manage office calendar, appointments, and bookings to ensure efficiency.
  • Handle basic office equipment, such as copiers, fax machines, and printers.
  • Assist in managing company files, records, and data entry in electronic and physical formats.
  • Provide support with event coordination, as needed (e.g., company meetings, conferences, or employee events).
  • Ensure security procedures are followed, including visitor sign-in and access control.
  • Handle customer inquiries and direct them to the appropriate department when necessary.
  • Assist with basic HR functions such as onboarding new employees, organizing employee files, and coordinating staff events.

Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in a related field is a plus.
  • Proven experience as a receptionist, administrative assistant, or in a similar front office role.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with attention to detail and ability to multitask.
  • Friendly and professional demeanor with a strong customer service orientation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Basic knowledge of office equipment and operations.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong time management skills and ability to prioritize tasks effectively.
  • Problem-solving skills and ability to think on your feet.

Preferred Qualifications:

  • Experience with office management software (e.g., scheduling tools, CRM systems).
  • Previous experience in a corporate or fast-paced office environment.
  • Basic bookkeeping or accounting experience.
  • Knowledge of other languages is a plus.
